Frequently asked
Quick answers
Everything you need to know about Axhy — billing, workers, verification, the AI assistant, and how we handle your data.
Billing
How are visits counted for billing?
Each completed, verified visit counts as one billable unit at ₹8. A visit is counted only after the worker submits their after-photos and the AI verification passes (or you manually approve it). Cancelled, skipped, or flagged-and-rejected visits are never counted. The ₹2,000/month floor applies regardless of visit volume — so if your team completes fewer than 250 visits in a month, you still pay the minimum.
What happens if my workers didn't complete any visits in a month?
You pay the ₹2,000 minimum monthly fee. There are no partial-month adjustments in the current plan — the floor covers platform access, AI quota, and support regardless of activity level.
Is there a free trial?
Yes — we offer a 2-week hands-on pilot for companies with 10+ workers at no cost. You get full access to all features, including AI verification, proof reports, and daily planning. After the pilot, you can continue on the standard ₹8/visit + ₹2k floor plan. Reach out via the contact form to schedule yours.
How do I update payment details?
Billing is currently invoiced manually at the end of each month. Email support@axhy.app with your updated payment details or bank reference. Automated self-serve billing will be introduced in a future update.
Workers
How do workers sign up?
You add workers from the admin dashboard (Workers → Add worker). They receive an OTP-based login on first use — no password needed. Workers only need their registered phone number to sign in to the Axhy mobile app (available on Android).
Can I bulk-upload workers?
Yes. On the Workers page, click "Import CSV" and download the template. Fill in columns for name, phone, and optionally skill tags, then re-upload. The system validates each row, shows a preview with any errors, and only imports valid rows. You review before confirming.
What if a worker's phone number changes?
Open the worker's profile in the admin dashboard, click Edit, and update the phone number. The worker will need to log in again with the new number — their existing visit history is preserved and linked to the same account.
How do I deactivate vs delete a worker?
Deactivate when a worker is temporarily unavailable or leaving — their history stays intact and they can be reactivated later. Delete is permanent and only available to Super Admins once a 30-day waiting period elapses. Workers with visit records cannot be hard-deleted; they can only be anonymized on a GDPR/DPDPA request.
Photo Verification
How does photo verification work?
When a worker completes a visit, they take "before" photos at the start and "after" photos at the end. The AI compares both sets, checks that the location is consistent with the assigned site, and assigns a confidence score. Visits with a high confidence pass automatically; borderline or low-confidence visits are flagged for your manual review in the Review queue.
What if the AI flags a legitimate visit?
Open the flagged visit in the Review section, look at the before/after photos and the AI's reasoning, and click "Approve" if you're satisfied. Approved visits are marked VERIFIED and count normally for billing and reporting. The AI doesn't have the final word — you do.
Can I manually approve a flagged visit?
Yes. Every flagged visit in the Review queue has an Approve button. You can also add a note explaining why you're overriding the AI flag — this note appears in the proof report and audit log, which is useful if a client disputes the visit later.
What photos does the AI need?
At minimum: 3 clearly-lit before photos and 3 after photos of the cleaned area. The AI works best when photos are taken from consistent angles, show the full room or area, and are not blurred. Dark, blurry, or heavily cropped photos increase the chance of a flag.
AI Assistant
What can the AI assistant do?
Press Cmd+K (or Ctrl+K) anywhere in the admin to open the AI assistant. You can ask it to list visits for a date range, check a worker's completion rate, find flagged visits, export a summary, or query assignment schedules — all in plain language. The AI shows a preview of the action it's about to take before executing, so you always know what will happen.
Why is the AI asking me to confirm before running?
By design. The AI surfaces a "tool call preview" that shows exactly what query or action it intends to run. This keeps you in control — it never fires off a database query or modification without your explicit confirmation. You can edit the intent, cancel, or proceed.
Does my data go to Anthropic?
The text of your query and the AI's response pass through Anthropic's API (Claude). Your raw visit records, worker PII, and company data are never sent wholesale to Anthropic — only the minimal context needed to answer your question is included in the prompt. We do not use your data to train Anthropic models. See the Privacy Policy for the full data processor disclosure.
Data & Privacy
Where is my data stored?
All structured data (workers, visits, assignments) is stored in a PostgreSQL database on Neon, hosted in the ap-southeast-1 (Singapore) region. Photos are stored in Cloudflare R2, also in a Singapore-adjacent region. We do not store data outside of India's neighborhood by default. For specific sub-processor details, see the Privacy Policy.
Can I export all my data?
Yes. You can export visit history as Excel files from the Payroll and Reports sections. For a full data export (all workers, sites, assignments, and visit records), email support@axhy.app — we'll prepare and send a ZIP within 5 business days. This is also your right under India's DPDPA 2023.
How do I delete my account?
To close your Axhy account, email support@axhy.app from your registered email with the subject "Account deletion request". We'll anonymize worker PII within 30 days and delete your company's data per our retention policy. Visit records required for legal compliance (7 years under India labor law) will be anonymized, not deleted.
Technical
Which browsers are supported?
The admin dashboard works on Chrome 110+, Firefox 110+, Safari 16+, and Edge 110+. The mobile worker app is currently Android-only (Play Store). iOS support is planned for a future release.
Is there an API?
There is currently no public API. Integrations (HRMS, payroll software, custom dashboards) are available on the enterprise plan (₹40k/month flat). If you have a specific integration need, mention it on the contact form and we'll prioritize accordingly.
What's the uptime SLA?
We target 99% monthly uptime for the admin dashboard and mobile backend. For the current pilot period, downtime compensation is 10% credit on the affected month's bill for any calendar month where uptime falls below 99%. Enterprise customers can negotiate stricter SLAs in their contract.
